Gift Wrap

Goals and Objectives

The Gift Wrap Committee raises funds for the PTC by supporting the sale of high quality gift-wrap, chocolates and gift items. This is a major fund-raiser for the PTC and profits directly support PTC programs - 50% of all sales go to the PTC.

Events

The gift-wrap fund-raiser is held in the early fall each year. The sale starts 2-3 weeks after school begins and lasts for two weeks. The items usually arrive in early November for distribution to families.

Volunteer Responsibility

The Gift Wrap Committee has one or two chairpersons and has the flexibility of choosing from different gift-wrap companies. This is usually done during late spring the prior school year and voted on by the PTC board. After choosing a gift wrapping company the committee chairperson/s should contact the local gift wrap sales person at the end of August. The sales person will supply packages to be sent home with families including a letter explaining our specific gift wrap sale. The committee chairperson/s has the flexibility choosing from different sales incentives for the students.

During the second week of September volunteers on the gift-wrap committee gather and stuff sales packets with the letter of explanation (3-4 persons needed). These packets are distributed to the classrooms/children using a ‘youngest sibling list’ obtained from the Newman office staff. Then an email should be coordinated with PTC communications committee.

The sale takes place over the next two weeks. Action should be taken according to the direction of the committee chairperson/s. For example: announcing high sales, sending out reminder notices, or presorting the returned sales envelopes. Once the sales deadline has been reached the committee should collect the sales packets (1-2 volunteers) from the classrooms/children.

Within a couple of days a group of volunteers (3-4 people) double-check sales order forms (accounting) and prepare to submit one large order with the gift wrap company. The committee chairperson/s spends the next 5-7 days following up on questions regarding orders, monies or other miscellaneous issues that may arise. Somewhere between the first and second week of October the gift wrap, chocolates and gift items are ordered. A delivery date is established for early November and the auditorium should be reserved for about 10 days after the order arrives. While the gift wrap order is being processed, delivery/pick-up dates should be established and a list of volunteers should be coordinated to help distribute the order (4-5 people). Gift wrap distribution volunteers may give 1-2 hours helping by sorting and organizing many light boxes in the auditorium. Once sorted, additional volunteers are needed before and after school helping students and parents locate their items (1-2 hours). This should be spread out over one week and usually prior to Thanksgiving break.

The next 30 days are spent ‘wrapping up’ the sale. This includes, but not limited to: sending emails, making phone calls, delivering and returning merchandise.
