The Class Basket Committee runs best with three co-chairpersons. Planning for the event should begin five weeks prior to Spring Fest. Each chairperson may coordinate two different grade levels by contacting the teacher or room parent regarding class baskets five weeks prior to event. This is done by sending a letter/email describing the process. (This takes a couple of days)
Once a room leader has been established the chairperson/s should identify or help identify the individual class basket theme. Parents will be donating items for the class basket. The teacher or room parent will be collecting these donations. The co-chairperson will keep up communication with the classroom representative regarding the donations and their overall relevance to the overall auction theme. (This is ongoing for five weeks - 5-6 hours)
The teacher or room parent may take up to 20 minutes each week to follow up on progress.
All donated items for baskets should be received 1 week prior to event. Wrapped and filled baskets should be dropped off the day of event.
The day of the event the co-chairpersons will set-up the auction with bidding sheets. This may include setting out baskets, bid sheets, and directions about how the auction rules.
Individuals may volunteer 1-2 hours during the auction. This may include helping perspective bidders with questions and monitoring the baskets.
Once the auction is over the committee chairpersons collect the bid sheets with the help of 5-6 volunteers (1-2 hours). The committee collects the amount bid by the highest bidder and distributes the baskets. Any items where the winner is not present will be contacted via telephone. The committee will follow up and finish all transactions the same week.
